Connect Zoom and Minoa pulls your call transcripts into every business case. Zoom uses OAuth, so there’s no API key to copy. You sign in and authorize.
You need admin rights in both Minoa and Zoom to connect. Minoa connects one recorder at a time, so disconnect any current recorder first.

Open integration settings

In Minoa, go to Settings → Integrations and click Zoom.

Authorize

Click Connect, sign in to Zoom in the popup, and approve the access request.

Confirm the sync

Minoa starts pulling in your recent calls. They show up in the context panel of your accounts and deals within a few minutes.
Next, select calls in a business case.

Sync calls from only an approved group

By default, Minoa can pull cloud recordings from every host the Zoom user who authorizes the connection can see. If you only want calls from a specific team, like Sales, scope the connection on Zoom’s side so other hosts’ recordings are never discovered.

How it works

Two controls work together:
  1. Zoom role scope. A dedicated Zoom integration user holds a custom role scoped to an approved Zoom group. Zoom then only returns recordings hosted by users in that group.
  2. Internal-call filter. Within that group, Minoa skips meetings where every identifiable participant is internal, and keeps calls that include an external participant.

Set it up

For click-by-click Zoom admin steps (creating groups, roles, and users), see Zoom’s role management guide. Enable only these permissions on the custom role:
  • Users: View
  • Recording and transcript management: View
  • View the recording and transcript content: View
  • Usage reports: View
  • Marketplace: View and Edit (so the integration user can authorize the Minoa app)
For Users, recordings, recording content, and reports, choose Custom Scope and select only the approved group. Do not select Entire Account, and do not grant any other Edit permissions. A Zoom user can hold only one role, so assign this custom role to a dedicated integration user rather than replacing a human admin’s role.

Create or pick the approved group

In Zoom, create a user group that contains the recording hosts whose calls should reach Minoa, or use an existing one.

Confirm every intended host is in the group

Include anyone whose recordings should sync, even if they don’t have a Minoa seat.

Create a dedicated Zoom integration user

Don’t authorize with a named employee’s account. Use a dedicated integration user so the connection stays stable when people change roles.

Create the custom role

Create a custom Zoom role with the permissions listed above.

Set Custom Scope to the approved group

For Users, recordings, recording content, and reports, set the scope to the approved group. Never use Entire Account.

Assign the role to the integration user

Assign the custom role to the dedicated integration user.

Verify the scope in Zoom

Sign in to Zoom as the integration user and open Recording and Transcript Management. You should only see hosts from the approved group.

Connect Zoom in Minoa

In Minoa, go to Settings → Integrations, click Zoom, and connect while signed in to Zoom as the integration user.

Confirm the first sync

After the initial sync, check that the expected calls appear on your accounts and deals.
This is a host-based access boundary, not a meeting-purpose classifier. A non-sales meeting hosted by an approved user is still in scope, so only add people whose recordings should reach Minoa. Changing the group affects future syncs only. Reach out to support@minoa.io if you need help or have questions.

Frequently asked questions

Yes. The connection is workspace-wide, so you need an admin role in Zoom to approve the access Minoa requests during the OAuth flow.
Allow popups for Minoa in your browser and click Connect again. If it still fails, sign in to Zoom in another tab first, then retry.
